You Are Blocking the Crawlers The most common cause is also the least interesting. Your robots.txt disallows the user agents that feed AI systems, or a firewall rule is rejecting them, or a bot management product is serving them a challenge page they cannot pass.
The pattern is consistent across most categories. Review platforms, industry publications, documentation, forum threads and comparison articles appear far more often than brand websites. When a brand site is cited it is usually a specification page, a pricing page or a technical document rather than a homepage or a landing page.

The Mistake Almost Everyone Makes Prompt sets written by marketing teams use marketing language. They contain the category name the company uses internally, the segment labels from the positioning document, and the phrasing from the website.
Pick your moment as carefully as your argument. A proposal to investigate a new discovery channel lands very differently in a quarter where organic traffic is soft than in one where everything is comfortable. That is not cynicism, it is recognising that the case is fundamentally about attention, and the same evidence will be received quite differently depending on what else is competing for it.
This matters more than any subtlety about model training. It means recommendations are built largely from pages that exist right now, which is why a page published this month can influence an answer this month, and why a brand absent from the retrievable web is absent from the answer regardless of how well known it is offline.
What Ranking Does and Does Not Buy You Ranking still helps, because the retrieval step usually starts with a search. But it buys far less than people assume. Ahrefs examined 15,000 long-tail prompts across four assistants in July 2025 and found roughly 80 percent of cited pages did not rank for the original query at all, with about 12 percent in the top ten.
Show the Cheap Failures First Before asking for a programme, ask for permission to check whether you are readable. Crawler access, rendering without JavaScript, listing accuracy on the sources your prompts cited.
You asked it to recommend a supplier in your category. It named four companies, two of which you consider inferior to yours, and one you had never heard of. Your name did not come up, and it did not come up on the follow up question either.
Be Honest About What Cannot Be Measured State the limits at the top rather than being caught out on them. There is no console reporting how often you were named. Referral attribution is incomplete because some assistants strip referrer data. Most of the channel's value arrives without a click.
One diagnostic shortcut is worth knowing. Ask the assistant to describe your company rather than to recommend one. If it produces an accurate description but will not recommend you, the record exists and the corroboration is thin, which points at third party sources. If it produces a vague or wrong description, the record itself is broken, which points at access and identity. Those two findings lead to completely different quarters of work, and the question that separates them takes ten seconds to ask.
Corroboration Beats Assertion The single clearest pattern in observed behaviour is that independent agreement outweighs self description. A claim made only on your own site is treated as a claim. The same claim appearing on a review platform, in a trade publication and in a forum thread is treated as a fact about the world.
One preparation step is worth the effort. Before the meeting, check whether anyone in the business has already noticed something relevant: a customer who mentioned an assistant, a support ticket citing wrong information, a salesperson who was asked about a competitor comparison they had not seen. Internal anecdote carries disproportionate weight because nobody can dismiss it as vendor material.
